Welcome to Pacific Podium Awards LTD. By using this website, requesting a quote, approving a design, or placing an order with us, you agree to the following Terms and Conditions.
1. About Us
Pacific Podium Awards LTD. provides custom medals, awards, and related products. Because most of our products are made to order, pricing, production time, materials, dimensions, finishes, packaging, and delivery arrangements may vary between projects.
2. Quotes and Pricing
All prices are quoted in Canadian dollars unless otherwise stated.
Quotes are based on the specifications and quantities provided by the customer and remain valid for the period shown on the quotation. Changes to the design, quantity, size, materials, finish, packaging, delivery address, or delivery schedule may result in a revised price.
Applicable taxes, shipping charges, customs fees, rush charges, and other costs will be identified in the quotation or invoice when applicable.
A quote request does not create a confirmed order or require either party to proceed.
3. Order Confirmation and Payment
An order is confirmed only after Pacific Podium Awards LTD. has received:
- The customer’s written approval of the quotation;
- Approval of the final artwork or digital proof; and
- Any deposit or payment specified on the invoice.
Payment requirements and due dates will be stated on the quotation or invoice. Production may not begin until all required approvals and payments have been received.
Late approvals, missing information, or delayed payments may affect the production and delivery schedule.
4. Artwork and Design Approval
Customers are responsible for carefully reviewing all digital proofs before approval, including:
- Spelling, names, dates, numbers, and event details;
- Logos, colours, dimensions, and placement;
- Medal shape, ribbon design, finish, and packaging; and
- Any other product specifications.
Once a proof has been approved, the customer accepts responsibility for the approved design. Pacific Podium Awards LTD. is not responsible for errors that appeared in an approved proof.
Changes requested after approval may result in additional charges and production delays. If production has already begun, some changes may not be possible.
Digital proofs are visual representations only. Final products may show reasonable differences in colour, texture, finish, size, weight, or appearance due to screen settings and manufacturing processes.
5. Customer-Supplied Content
The customer confirms that they own or have permission to use all logos, artwork, photographs, trademarks, names, and other materials submitted to Pacific Podium Awards LTD.
The customer is responsible for obtaining any required licences, permissions, or approvals. Pacific Podium Awards LTD. may refuse content that appears unlawful, infringing, offensive, or otherwise inappropriate.
The customer agrees to be responsible for claims or costs resulting from the unauthorized use of materials they supplied.
6. Production and Delivery Times
Production and delivery estimates are provided in good faith but are not guaranteed unless expressly confirmed in writing.
Estimated timelines may be affected by:
- Delayed artwork approval or payment;
- Changes to the order;
- Supplier or manufacturing delays;
- Shipping carrier disruptions;
- Customs inspections;
- Severe weather, emergencies, labour disruptions, or other events outside our reasonable control.
Pacific Podium Awards LTD. is not responsible for indirect losses resulting from delays outside our reasonable control. Customers should place time-sensitive orders as early as possible.
7. Shipping and Inspection
The customer is responsible for providing a complete and accurate delivery address.
Risk of loss or damage may transfer to the customer when the order is delivered, subject to applicable law and the shipping arrangements stated in the quotation.
Customers should inspect their order promptly after delivery. Any shortage, visible damage, or manufacturing concern should be reported through our website contact form as soon as possible, together with the order number and clear photographs.
We may request additional information before offering a repair, replacement, partial refund, or other appropriate solution.
8. Cancellations, Returns, and Refunds
Because custom products are created specifically for each customer, approved custom orders are generally not eligible for return, exchange, or refund due to a change of mind.
Cancellation requests must be submitted in writing. If design, sourcing, tooling, manufacturing, or shipping work has already begun, the customer may be responsible for costs already incurred. Deposits may be non-refundable once work begins, as stated in the quotation or invoice.
If a product is defective, damaged, or materially different from the approved specifications, please contact us promptly. We will review the issue and provide an appropriate solution where required.
Nothing in these Terms limits any rights or remedies that cannot legally be excluded under applicable law.
9. Product Images and Samples
Product photographs, mockups, renderings, colour charts, and samples are provided for reference. Colours and finishes may appear differently on different screens or under different lighting.
Unless otherwise agreed in writing, samples and prototypes may involve additional charges and may differ slightly from full production items.
We will not publicly display identifiable customer artwork or custom products for promotional purposes without permission when confidentiality has been agreed in writing.
10. Website Information
We make reasonable efforts to keep website information accurate and current. However, product descriptions, images, availability, specifications, and other website content may be updated without notice.
Website content is provided for general information and does not replace the specifications contained in an approved quotation, proof, or invoice.
11. Intellectual Property
Unless otherwise stated, the Pacific Podium Awards LTD. name, logo, website design, text, graphics, and original content are owned by or licensed to Pacific Podium Awards LTD.
They may not be copied, reproduced, distributed, modified, or used for commercial purposes without prior written permission.
Customer-owned logos and artwork remain the property of their respective owners.
12. Limitation of Liability
To the extent permitted by law, Pacific Podium Awards LTD. will not be liable for indirect, incidental, special, or consequential losses arising from the use of this website or from an order.
Where liability cannot be excluded, our total liability relating to a particular order will not exceed the amount paid to Pacific Podium Awards LTD. for the affected products, except where applicable law requires otherwise.
13. Privacy
Personal information submitted through this website or during the ordering process is handled in accordance with our Privacy Policy.
14. Third-Party Services and Links
Our website may use or link to third-party services, including payment processors, shipping providers, social media platforms, or external websites.
Pacific Podium Awards LTD. is not responsible for the content, availability, security, or privacy practices of third-party services.
15. Governing Law
These Terms and Conditions are governed by the laws of the Province of British Columbia and the applicable federal laws of Canada.
Any dispute will be handled by the courts or other legally authorized dispute-resolution bodies located in British Columbia, unless applicable law requires otherwise.
16. Changes to These Terms
We may update these Terms and Conditions from time to time. The revised version will be posted on this page with an updated effective date.
The Terms in effect when an order is confirmed will generally apply to that order.
